Information we receive

Information you choose to provide

If you use the enquiry form or contact us by email, we receive the details you provide. These may include your name, work email address, phone number, organisation, area of interest and the contents of your message.

Technical and security information

When you visit the site, our web host and Cloudflare process ordinary connection information such as your IP address, browser and device type, requested page, referring page, and the date and time of the request. Cloudflare Turnstile also evaluates limited browser and device signals to distinguish genuine visitors from automated submissions.

Please do not send confidential, special-category or highly sensitive personal information through the enquiry form unless it is necessary for us to understand your request.

03

How and why we use it

Respond to enquiries

To understand your request, reply, arrange a conversation and take steps you ask us to take before entering into a contract.

Basis: steps at your request before a contract and our legitimate interests in developing our business.

Manage relationships

To keep an appropriate record of discussions, proposals and decisions, and to follow up where reasonably expected.

Basis: legitimate interests in managing professional relationships and, where relevant, performing a contract.

Protect the service

To operate the website, prevent spam and abuse, investigate faults and maintain the security of our systems.

Basis: legitimate interests in providing a secure and dependable website.

Meet legal obligations

To keep records or disclose information where required by law, regulation, a court or a competent authority.

Basis: compliance with legal obligations and the establishment or defence of legal claims.

We do not add website enquiries to a newsletter or general marketing list, sell personal information, or make decisions about people solely by automated means that have legal or similarly significant effects.

04

Who processes information for us

We limit access to people and providers that need the information for the purposes described above. These include:

  • Cloudflare, which delivers and protects the website and provides Turnstile bot protection. Turnstile does not receive the contents of your form fields.
  • Our web-hosting provider, which serves the website and maintains ordinary server logs.
  • Our web server and Google Workspace, which route an enquiry to and store it in our business mailbox.
  • Google Fonts or Cloudflare's font optimisation service, which supplies the typefaces used by the site and may process ordinary request information when font files are requested.
  • Professional advisers or public authorities, where reasonably necessary for legal, regulatory, insurance or security matters.

We do not allow service providers to use enquiry information for their own advertising. Some providers may process information outside the UK. Where UK personal information is transferred internationally, we use providers that support an applicable UK adequacy regulation or recognised contractual safeguards. You may contact us for more information about the relevant safeguards.

05

How long we keep it

  • Unsuccessful or preliminary enquiries: normally no longer than 24 months after the last meaningful contact, unless there is a clear reason to keep a shorter or longer record.
  • Client and contractual records: if an enquiry becomes a client relationship, relevant correspondence may be retained with the project and financial records, normally for up to six years after the relationship ends.
  • Origin web-server logs: rotated daily and retained for up to 14 rotations for reliability and security.
  • Turnstile tokens: used to validate the submission and not retained by us as an enquiry record. Cloudflare applies its own retention periods to security data it processes.

We may keep limited information for longer where required by law or reasonably necessary to establish, exercise or defend legal claims. Information that is no longer needed is deleted or anonymised.

06

Cookies and similar technology

We do not use advertising cookies, marketing pixels or behavioural analytics on this website. Cloudflare and Turnstile may use short-lived cookies, browser storage or device signals where necessary to deliver the site, identify malicious traffic and protect the enquiry form. These technologies are used for security and service operation, not advertising.

Because the site currently uses only essential delivery and security technology, it does not display a marketing-cookie consent banner. If we introduce optional analytics or marketing technology, we will update this notice and request consent where required before using it.

07

Your rights

Depending on the circumstances, UK data-protection law may give you rights to ask for access to your personal information, correction, deletion, restriction, portability, or an explanation of how it is used.

Your right to object: where we rely on legitimate interests, you may object to our use of your personal information. We will stop unless we have compelling legitimate grounds to continue or need the information for legal claims.

To exercise a right, email us using the address below. We may need to confirm your identity and clarify the information concerned. There is normally no fee, and we usually respond within one month.

08

Contact, complaints and changes

For a privacy question or request, email [email protected] or write to our registered office. We would appreciate the opportunity to address a concern directly.

You also have the right to complain to the Information Commissioner's Office. Contact details and guidance are available at ico.org.uk/make-a-complaint.

We review this notice when our services, providers or legal obligations change. The effective date at the top shows when it was last materially updated.
